MINUTES OF THE NOVEMBER 14, 2007 MEETING

I.          Meeting Called to Order by Co-Chair, Jane Ritter at 12:40pm

 

II.         Disposition of Minutes of March 8, 2007

            Donna motioned to approve. Seconded. Motion carried.

 

III.       Unfinished Business

            A.        2007 Conference Revenue versus Expenses

There was a net loss of $4971.16, but the committee would like to know how that figure was determined.

 

Renee suggested a room cost, food cost, AV cost, etc. breakdown in future reports in order to show more detail on the Bavarian Inn Lodge report. AV cost will now come down due to purchase of LCD projector for use by MCSSA. Jane would like to know how many registrations at which price. All would like more detail in report.

 

Renee would like projected budget for MCMCFC to be separate.

 

Full review of 2007 Conference Revenue vs. Expenses report tabled until next meeting. Need more detailed information.

 

MCMCFC registration fee was $120, MCSSA was $75. Total 184 attendees for both groups. Registration refunds were cancellations (we keep $10 of that.) Bavarian Inn Lodge cost was for meals (lunch, refreshment break,) and AV rental.

 

            B.         2007 Evaluation Review

Jane expressed that she was unhappy with the way they were treated at the hotel, rooms overcrowded, etc. Jane mentioned that she would like to have more substance to the conference this time around.

 

IV.       New Business

            A.        Conference Schedule

Donna wanted to know if they were doing an onsite visit with the Marriott. Shelley stated that she will set it up for their next meeting date of December 4.

 

Jane expressed her opinion that the conference that was held in Bay City was nicest and most reasonable. She feels that 2008 is going to be very expensive and might not be worth it. Renee said that if travel continues to be prohibited then a location needs to be more central. Jane also stated that drinks were overpriced in the bar area at the Bavarian Inn.

 

The conference this year will likely be two days. The cost of rooms at the Marriott is $109/night for single, double, triple or quad. After meeting next month, the type of presentations to set up will be better determined. Jane expressed that she would not like to go up to $195 registration fee, but that might have to happen.

 

V.        Next Meeting Date

The next committee meeting will take place on Tuesday, December 4, 2007 at 11:00am at the Marriott in Pontiac. They will tour the hotel then meet over lunch. Shelley will send directions.

 

VI.       Meeting was Adjourned at 1:35pm.
